PRO numbers

What is a PRO number?

A PRO number is the carrier tracking number for one shipment. It is the freight bill number for that load. The carrier assigns it at booking or at pickup. Parcel Management Group is a registered freight broker (USDOT 3266041 · MC 1030328) in Ventura, CA 93001. Call (805) 984-4114.

Each shipment gets its own PRO. A second pickup gets a second number, even when the same carrier hauls both. The number is how you look up the last scan, the terminal, and delivery for that one load. It is not a number for the whole account, and it is not a number for the purchase order.

LTL and truckload carriers both use a PRO this way. You need the number the carrier assigned, and you need to know which carrier assigned it. A number from one carrier does not track a shipment on another carrier's page.

Where to find a PRO number

Look for a PRO sticker or a barcode on the bill of lading. The sticker is often labeled PRO or PRO number. The barcode is that same number in a form a scanner can read. If the form has both a sticker and a printed line, they should match.

The pickup receipt repeats it. The driver leaves that receipt when the freight is collected. If the bill of lading is still with the freight, the receipt at the dock is the copy you can use the same day.

The booking or dispatch email lists it when the load was tendered electronically. Open the confirmation and look for the PRO. The same message may also list the bill of lading number. Read the label next to each number so you do not swap them.

The carrier invoice, also called the freight bill, prints the PRO. That is why people also call it the freight bill number. The number on the invoice should match the number on the bill of lading and on the pickup receipt.

Your TMS record stores it on the shipment. If the load was booked in a system, open that shipment and read the PRO field. Copy it from the field rather than retyping it from memory.

Inbound freight is different. Someone else booked the load, so the shipper has the PRO. Ask the shipper for it before you try every other reference you hold.

How to track a shipment by PRO number

  1. Get the PRO from the bill of lading, the pickup receipt, the booking email, the freight bill, or the shipper.
  2. Confirm which carrier it belongs to. The number works only with the carrier that issued it.
  3. Enter it on that carrier's official tracking page. Use the page for the carrier named on the paperwork.
  4. Read the last scan and the terminal. The status is the latest event. The terminal is where that scan was recorded.
  5. Open a trace after two business days with no scan. Call the carrier with the PRO and ask them to trace the shipment.

Have the pickup date and the origin and destination ready when you ask for the trace. A gap of a business day between terminals can be normal on an LTL move. Two business days with no new scan is the point to stop refreshing and ask the carrier to look.

PRO number vs BOL number vs PO number

A PRO number is the carrier tracking number. The carrier assigned it to one shipment. Use it when you want the last scan, the terminal, and delivery status. It is the number to try first.

A BOL number is the shipper document number on the bill of lading. It identifies the paperwork the shipper created. Some carriers accept it as a lookup. It is still the shipper's document number, not the carrier's tracking number. A BOL lookup can miss when the number was keyed differently at booking.

A PO number is the buyer's order reference. It identifies the purchase, not the truck. It can find a shipment only when that reference was recorded on the load at booking. If the PO was never stored on the shipment, the lookup has nothing to match.

A PRO only works with the carrier that issued it. Confirm the carrier name on the paperwork, then enter the number on that carrier's tracking page. Typing the same digits into a different carrier's page will not find the load.

Carrier tracking guides

These guides show how to track by PRO with the carrier that issued the number. Use the guide that matches the carrier on your paperwork.

Each guide covers where that carrier prints the PRO, how to read the last scan, and when to open a trace. If your paperwork names a different carrier, use that carrier's own tracking page and the PRO that carrier assigned.

PRO number vs SCAC code

A PRO number tracks one shipment. A SCAC code names the carrier. You need the carrier, and often its SCAC, to know which tracking page to open. You need the PRO to look up that one load on that page. The SCAC stays with the company. The PRO stays with the shipment.

How PMG helps

PMG brokers LTL and full truckload freight and sends the PRO for every load it books. Use that PRO on the carrier's tracking page. If the paperwork and the scans do not match, call and have the PRO ready.
